Organizations & teams

An organization is a shared workspace: its own links, domains, QR codes, campaigns, and analytics, with teammates you invite by email. Your personal workspace stays private — org data and personal data never mix.

Workspaces at a glance

  • Personal — your default workspace at the usual URLs (/dashboard, /links, …). Only you can see it. Billing lives here.
  • Organizations — shared workspaces at /o/<org-slug>/… (e.g. /o/acme/links). Everything a member creates there belongs to the org, not to their personal workspace.

Use one org per brand or client. An agency running three clients keeps each client's links, domains, and campaign numbers in its own workspace, and can give each client read-only access to just theirs.

Create an organization

  1. Open the workspace switcher at the top of the sidebar (it shows "Personal" by default)
  2. Click New organization
  3. Enter a name (e.g. "Acme Inc") and click Create
  4. You're switched into the new workspace automatically

The org gets a URL slug derived from its name. You become its Owner, and it runs on your plan's limits (see billing below). How many organizations you can own depends on your plan — see the seats table.

Switch between workspaces

The workspace switcher lists Personal plus every org you own or belong to. Selecting one takes you to that workspace's dashboard, and everything you see — links, analytics, domains, campaigns — is scoped to it. Your choice sticks across page loads until you switch again.

Org pages live under their own URLs, so you can bookmark /o/acme/analytics and land in the right workspace directly.

Invite your team

  1. Switch into the organization
  2. Go to Settings and find Organization members
  3. Enter the teammate's email, pick a role, and click Add

Two things can happen:

  • They already have a Track Link account — they're added immediately and the org appears in their workspace switcher
  • They don't — they get an invitation email and join automatically the first time they sign in with that email

Pending invites are shown in the member list with an "Invited" badge and can be revoked at any time. Note that pending invites count toward your seat limit — they reserve the seat.

Roles

Four roles, enforced by the API on every request:

You can change a member's role at any time from the member list. The Owner role belongs to whoever created the org and can't be reassigned from the UI.

Seats and org limits per plan

Seats count you, the owner, as one. Limits come from the owner's plan — members join free regardless of their own plan.

On Free and Starter, an organization is a way to keep a brand's links in a separate workspace — inviting a second person requires Pro or higher.

Billing: one subscription, on the owner

  • Billing always lives on the owner's personal workspace — there is no separate org subscription. Manage your plan in Settings while in your personal workspace
  • An org inherits the owner's plan: link limits, click quota, domains, data history, and TrackAI allowance
  • Everything created in your orgs counts against your quotas — personal plus all orgs you own share one pool of links, clicks, and domains. Creating more orgs doesn't create more quota
  • Members never see your billing details. What they can see is which plan powers the workspace — nothing more
  • Seats are included in the plan — you don't pay per member

Downgrades and frozen orgs

If your plan drops below what your orgs use, nothing is deleted:

  • Orgs beyond your new plan's cap are marked frozen (you'll see the label in the switcher). A frozen org is read-only — its links keep redirecting and analytics keep collecting, but nothing new can be created in it
  • Members beyond the new seat cap are suspended, not removed
  • Upgrading again unfreezes orgs and restores suspended members automatically

FAQ

Do my teammates need a paid plan?

No. Members use the org under the owner's plan. A teammate on the free plan has full role-based access to your org while keeping their own personal workspace on their own plan.

What happens when I remove a member?

They lose access to the organization immediately. Links and campaigns they created stay in the org — nothing they built leaves with them. You can re-invite them later.

Can a member move links between workspaces?

No. A link belongs to the workspace it was created in. Data never crosses between personal and org workspaces, or between two orgs.

Can I delete an organization?

Yes — the Owner can delete an org from its settings. This removes the org and its data, so export anything you need first.

Whose TrackAI allowance is used in an org?

The owner's. Messages any member sends in an org workspace draw from the owner's monthly TrackAI allowance.
