Can you see who viewed
a Google Drive link?

Sometimes, and less often than most people expect. Here is what Drive itself records, where it goes quiet, and how a tracked link in front of the file shows you each open.

Quick answer

Only in some cases. Drive's viewer list lives in the Activity dashboard, a Google Workspace feature for Docs, Sheets and Slides that only editors in the owner's organisation can see, and someone who opens an 'anyone with the link' file without signing in isn't listed at all. To see every open, send a tracked link that forwards to the file: each open is recorded with its time, approximate location and device, and one link per person tells you whose link was opened.

What Google Drive records about views

Drive keeps view history in the Activity dashboard. Google documents it for Docs, Sheets and Slides files on Google Workspace accounts, and only people with edit access in the same domain as the file's owner can open it. Within those limits it lists who viewed the file and when.

It thins out quickly once a file leaves your organisation. A viewer from another company shows up only if their company's settings share view history, and anyone can choose to hide their own views. Someone who opens an 'anyone with the link' file without signing in has no account to list, so the file was viewed and nothing says by whom.

Does Google Drive track downloads?

Not in a way the file's owner can see. Neither the sharing screen nor the Activity dashboard gives you a download count or a list of who downloaded the file. On a work account, your Workspace admin has organisation-wide audit tools and can tell you what those record.

If you would rather people didn't download the file, Drive's sharing settings let you hide the download, print and copy options from viewers and commenters. That doesn't stop screenshots, and it tells you nothing about who looked.

A tracked link can't count downloads either. It records the open that led to the download; what the person does with the file after that happens on their own device.

How a tracked link fills the gap

A tracked link is a short link that records the click, then forwards straight to the Drive file. The record is made before Google is involved, so sign-in, company and view-history settings don't matter.

Each open shows the time, the approximate country, region and city, the device, operating system and browser, and the browser's language. Location comes from the IP address, so the country is usually right and the city is a close guess. Link previews from chat apps and known bots aren't counted as opens.

  • One link per person. Name each link after its recipient, and an open on it is almost always theirs, or someone they forwarded it to.
  • Open alerts. On Agency (50 open alert emails per month) and Business, Track Link emails you when the link is opened. See link open alerts.
  • Passwords and end dates. On Pro and above you can put a password in front of the file or set the day the link stops working.

Set up the Drive file so the link does its job

Either sharing setting works. 'Anyone with the link' lets people open the file without a Google account; 'Restricted' makes Google check they are signed in to an account you shared it with. Either way, the tracked link records the open first.

The tracked link only sees opens that go through it. Send it instead of the Drive address, not next to it. People you shared the file with before can keep using the old address, so for a file that has to be counted, make a fresh copy and share only the tracked link to the copy.

The same works for a PDF in Drive or a file in Dropbox or OneDrive. Document tracking covers proposals, decks and CVs.

How to see when your Google Drive file is opened

  1. 1In Drive, open Share, set General access to 'Anyone with the link' (or keep it Restricted and add the people), and copy the link.
  2. 2Sign in to Track Link with Google or Microsoft (the free plan needs no credit card) and create a tracked link with the Drive URL as its destination.
  3. 3Name the link after the person you're sending it to, and make one link per recipient.
  4. 4Optional: turn on an open alert (Agency and up), or add a password or end date (Pro and up).
  5. 5Send the tracked link instead of the Drive link. Opens appear on the link's page as they happen.

What the link can't tell you

  • Who the person is. You see the time, place and device of an open, not a name, an email address or a Google account.
  • Downloads, time spent, or which pages were read. Everything after the open happens inside Drive and on their device.
  • Opens that skip the link. Anyone who has the Drive address itself can open the file without passing through it.
  • Scanners. Some email security systems open links to check them; an open seconds after your email lands is most likely one.
  • On the free plan, people see a short Track Link notice before the file opens. Paid plans send them straight to Drive.

Questions people ask

Can you see who viewed a Google Drive link?

Partly. On Google Workspace, editors in the owner's organisation see a viewer list for Docs, Sheets and Slides in the Activity dashboard. Viewers from other companies appear only if their company shares view history, and people who open an 'anyone with the link' file without signing in aren't listed. A tracked link in front of the file records every open.

Does Google Drive track views?

On Workspace accounts it records views for the Activity dashboard, within the limits above. It doesn't show where a viewer was or what device they used.

Can I see who accessed my Google Drive link if it's set to anyone with the link?

Not from Drive when the person isn't signed in, because there is no account to list. Send a separate tracked link to each person and you can tell whose link was opened, when, and from which city and device.

Does Google Drive track downloads?

The owner doesn't get a download count or a list of who downloaded. A tracked link records the open that led to a download, not the download itself.

Will the person know the link is tracked?

They see a short link rather than a drive.google.com address. On paid plans they go straight to the file; on the free plan they see a short Track Link notice first. A link on your own custom domain carries your name instead of ours.

What if they forward the link?

Opens by whoever they forwarded it to are recorded on the same link. A second open from a different city or device usually means it has been passed on.

Is it free?

Recording opens works on every plan, including Free. An email on each open is part of Agency ($49/mo) and Business; passwords and end dates start at Pro ($9.99/mo).
